Idaho National Laboratory External Engagement and Communications group is seeking an Event and Hospitality Specialist to work in our Labwide Communication Services department. 

Our team works a 9x80 schedule located out of our EROB facility onsite in Idaho Falls, Idaho with every other Friday off. This is a one - year project hire position with the intention to transition to a regular hire after the first year. You will report to the Labwide Communication Services manager and support all hospitality aspects for visitor and event planning to ensure visits and events run smoothly.

Responsibilities Include:

  • Support all hospitality aspects for visitor and event planning to ensure visits and events run smoothly. Demonstrate the ability to pivot and quickly find workable solutions when plans change.

  • Apply best practices for planning and executing hospitality for visits and events, including on décor and menus that align with event themes and facilitating catering contracts in compliance with company policies and in accordance with requirements related to respective cultures and dietary restrictions. Be comfortable managing large quantities of paperwork and forms plus hands-on execution of events.

  • As needed per the event lead’s direction, provide input and coordinate amenities which may include room setup, floral arrangements, A/V and alcohol service, seating arrangements, flags, decorations, menu selection and gifts.

  • Have strong customer service, interpersonal and relationship-building skills and a respectful, collaborative approach to coordinate events with INL team members, laboratory employees, and guests.

  • Have excellent organizational skills to work independently, effectively manage several projects at once, and be able to prioritize work under pressure to meet deadlines. 

  • Demonstrate financial acumen and understanding. Train to become a Purchase-Card holder and manage Purchase-Card account. Budget and stay within per diem when ordering food and perform post-event follow-up actions like invoice processing in a timely and organized manner.

  • Maintain professional appearance and positive attitude. High attention to detail and the ability to manage time effectively is essential to success in this position.

  • Ability to communicate and work with people who have diverse backgrounds and objectives.
     

 

Minimum Requirements: 

  • Level 1: Bachelor's Degree and 0 years of experience or, in lieu of degree, HS Diploma or GED and 6 years of related experience.
  • Level 2: Bachelor's Degree and 2 years of experience, or Master's Degree and 0 years of Experience or PhD and 0 years of Experience, or in lieu of degree, HS Diploma or GED and 8 years of experience.
  • Valid Idaho Driver's License as responsibilities include driving visitors in a government vehicle.
  • Must have the availability to work a flexible schedule. sometimes on short notice, including nights, and weekends, (early mornings before 7:30am and late nights after 5:30pm.
  • Train to become a purchase - card holder and manage purchase - card account. Follow guidelines, budget and stay within per diem when ordering food.
  • Thrive in a high-pressure, fast moving environment.

Preferred Experience: 

  • Prior hospitality and/or event planning experience. Prior customer service experience and food handling experience is preferred.

  • Experience managing billing or other sensitive paperwork.

  • Knowledge of international etiquette, local venues, dining information, meeting facilities, restaurant operations, hotel services and business etiquette.
     

Job Information: 

  • The pay range for this position is: Level 1 ($ 46,392- $ 90,564) / Level 2 ($ 56,196 - $ 109,644). At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials. 

     

  • Multi-Level: This is a multi-level posting and you will be placed at the appropriate level dependent on depth and breadth of proven experience and skills. 

Physical Requirements

While performing the duties of this classification, the employee is frequently required to stand, walk, sit, stoop, kneel, 
bend, and work in an office environment. The job requires hand/finger dexterity to keyboard or type, handle materials, 
manipulate tools, and reach with hands and arms. The job requires the operation of office equipment. The employee must 
occasionally lift and/or move up to 35 pounds. Sufficient visual acuity and hearing capacity to perform the essential
